That means letters are often reserved for the not-so-good news and the \u2018boring\u2019 bits. But that doesn\u2019t have to be the way. Here are some of the topics we cover in our copywriter training on letters.<\/p>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><strong>A gap for something new <\/strong><\/h2>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">One reason why letters are different from emails is their personal nature. They\u2019re sent directly to someone\u2019s home, and they\u2019re <a href=\"https:\/\/www.theguardian.com\/lifeandstyle\/2016\/nov\/26\/from-me-with-love-lost-art-letter-writing\">a physical item to hold<\/a>, read and keep. Where emails fly into an inbox and can be easily deleted or missed, letters are much more difficult to ignore. Perhaps that\u2019s why they\u2019re often saved for sharing important information.<\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">But companies may be missing a trick on the more personal side of letters. By using approachable language and focusing on the customer, companies can share important information and build trust at the same time.<\/p>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><strong>How were you taught to write a letter? <\/strong><\/h2>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">If your experience was anything like mine, you probably found out where to put your address, where to put their address, where the date goes. And then you were told to start it with \u2018Dear Sir\/Madam\u2019 and to conclude with a classic \u2018Yours sincerely\u2019.<\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">There\u2019s every chance my memory is failing me \u2013 I probably was given a more in-depth education in letter writing. But I distinctly remember the lesson being about the standard structure, rather than <em>words<\/em>.<\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">It\u2019s nothing like how I write letters for our clients today. If it was, my job would be much easier.<\/p>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><strong>How to build trust with letters<\/strong><\/h2>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">Letters shouldn\u2019t be seen as a way for companies to tick the box saying they\u2019ve let customers know something important. They\u2019re a chance to show we\u2019ve thought about how news will affect our customers and how we can make their lives easier.<\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">Every letter should address customers\u2019 concerns and clearly explain what to do next. It\u2019s also important that they sound authentic, and that they read like they\u2019re written by a person rather than a machine. We should avoid using too many letter-writing clich\u00e9s and instead find words our customers will relate to. That way, we can make letters welcome post once again.<\/p>\r\n\r\n\r\n\r\n<h2 class=\"wp-block-heading\"><strong>Five letter-writing myths to crush, once and for all<\/strong><\/h2>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\"><strong>Not every letter needs to open with<em> \u2018Dear\u2026\u2019 <\/em><\/strong>\u2013 \u2018<em>Hello<\/em>\u2019 works well for most letters, especially if it\u2019s just an update or good news. Even \u2018<em>Hi<\/em>\u2019 is fine, if it\u2019s for a relaxed, consumer brand.<\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\"><strong>\u2018<em>Important information<\/em>\u2019 doesn\u2019t sound important anymore <\/strong>\u2013 Too many letters start like this, so it\u2019s lost its significance. It\u2019s much more effective (and quicker) to tell readers what the important information is (e.g. \u201c<em>Something\u2019s missing from your application<\/em>\u201d).<\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\"><strong><em>\u2018Yours sincerely\u2019<\/em> isn\u2019t the only way to sign a letter<\/strong> \u2013 We\u2019ve seen everything from \u2018<em>All the best<\/em>\u2019 to \u2018<em>Thanks<\/em>\u2019, and they can all work depending on the brand. Save \u2018<em>Yours sincerely<\/em>\u2019 for more formal brands or purposes.<\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\"><strong><em>\u2018We are writing to inform you&#8230;\u2019<\/em> can delay your important message <\/strong>\u2013 Rather than say that you are writing to tell the reader something, just go ahead and say it. \u201c<em>We haven\u2019t been able to set up your account yet, but we just need a bit more information from you<\/em>\u201d is a friendly way to open a letter and it gets straight to the point.<\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\"><strong>Legal wording is often necessary, but you should be able to work around it <\/strong>\u2013 By explaining what the legal wording means and how it affects the customer you can avoid the entire letter sounding like it was written by a robot.<strong>\u00a0 <\/strong><\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\"><strong>Copywriter training for letters<\/strong><\/p>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">Letter writing is often a company-wide task, which can make consistency another challenge.
